Administrator Console FAQ


SightSpeed Business - Your Administrator Account

Let’s get familiar with administrator (admin) account console.  Upon login you’ll be brought to a Welcome page.  It mentions several things you’ll find helpful.  The admin console is made up of 2 sections: My Accounts and View Reports.  Navigating through options of these menus is simple. 


Here’s a description of what you’ll find in each section.

 

My Accounts


1. Manage Users – all elements of this section will be relative to managing individual user accounts
    a. New User Set up – Allows you to add new users to your account
    b. Active Users – Allows you to view all existing users on your account.  Also, allows you to edit certain aspects of any users account such as password, or email address.
    c. Import Existing User – Allows you to import those who already have a SightSpeed account
    d. Default Admin Profile – allows you to set edit certain user experience aspects of the admin and user profiles


2. Manage Account - all elements of this section will be relative to managing individual user accounts
    a. Account Summary - A summary of all account activity is found here
    b. Account Information - General account specifics are located here
    c. Buy Additional Seats – Click here to add user capacity
    d. Buy Phone Service Credits – Click here to purchase additional Phone Services Credits
    e. Update Credit Card Info – Click here to update your credit card


View Reports


1. User Selection Field – Click here to select those on which you wish to run a report
2. Report Type Selection Field – Click here to select the type of report you’d like to run
3. Report Date Perimeters Field – Click here to select the date range for the report you wish to run
4. View Report Button - Click here to run the report

 



SightSpeed Business - Adding New Users


1. Adding new users to you account is simple

2. Just enter the user information into corresponding fields …

SightSpeed Business - Viewing Active Users

The Active User section lets view all existing users on your account. 
It also allows you to edit certain aspects of any users account such as
password, or email address.

SightSpeed Business - Importing an Existing User

If the email address you enter is identified as an existing SightSpeed user we will send an email to this user asking permission to transfer his/her account to your company account. They'll have an opportunity to decline your invite which will require you to choose another email address for this user

Transferring an account means the following:

•     All contacts in the SightSpeed Business account (if selected) will be added to their existing contact list.
•     All settings will remain the same: contact name, contact preferences, account preferences.
•     All previously purchased custom phone numbers will be transferred to your company account; including the cost of those numbers.
•     Any unused, prepaid SightSpeed plan time will be refunded to that user via their credit card on file.
•     Any unused call out minute credits will be refunded to them via the credit card on file.



SightSpeed Business - Default Administrator Profile

The Default Profile section gives you different display options for your user console.  You can also designate the default initial login for your users here.

The Account Summary page allows you to see all account activity, showing you ;

1. All user accounts
2. The number of Seats you have available
3. Your available Phone Service Credits balance
4. When your next payment is due

SightSpeed Business - Buy Additional Seats

Adding to your user capacity is a snap through the “Buy additional Seats” section.  Simply select the number of seats as you did upon account creation and click “Purchase”.


Note. 
•     The 'PAYABLE NOW' is the amount prorated for the amount of time left in this year so we can get you on the same yearly billing cycle as your other plans. Your next billing date is noted above.
•     Your ' YEARLY TOTAL' is merely the yearly price tag for the plan you are purchasing.

 



SightSpeed Business - Buy Phone Service Credits

All SightSpeed phone services are prepaid.

You can buy 'credits' to use toward the following services:
•     Calling U.S. or worldwide landlines or mobile phones
•     Buying custom phone numbers
•     Buying 800 numbers


Simply select the amount in the “Choose Amount” field to purchase with the credit card on file then click “Purchase”

Purchases and Payments for your SightSpeed Business account are made from your credit card on file.
You can update or change card information on this page.

SightSpeed Business offers several reports for administrator view


1. Free Inbound calls - Shows a record of all free calls received into your account
2. Free Outbound calls - Shows a record of all free calls made from your account
3. Phone In Calls - Shows a record of all Phone In calls made from your account
4. Phone Out Calls - Shows a record of all Phone Out calls made from your account
5. Video Mail History – Shows a record of all Video Mail sent and received in your account
6. Billing History - Shows a record of all payments for your account



Sightspeed Business - Other Admin Console Questions

 

 What is seat?

A seat is a license to participate in a SightSpeed for business conference. 

 

How do I determine the number of seats I need in my business account?

You’ll need to purchase enough seats for the total amount of attendees that will be participating in your conferences at one time.   For example, If you will only be conducting one 1-1 conference at a time you only need to purchase 2 seats – one for each conference attendee.    If you think you’ll be conducting a 5 person multi-party conference you’ll need to purchase 5 seats.  If you will be conducting both single and multiparty conferences just estimate the total number of attendees that will be participating in your conferences concurrently.  For example, let’s say your weekly team meeting, which has 6 attendees is at 2pm and 2 managers will be conduction video interviews (1-1) at the same time.  For this scenario you would need to have purchased 10 seats to provision for your conferences; 6 seats for your team meeting and 2 seats for each of the manager interviews.   If however, the meetings will not be taking place at the same time you need only purchase (provision for) 6 seats as it is the maximum number of seats your conference will occupy at one time.  You only need to purchase the number of seats that you will be using at any one time concurrently.

 

Do I have to purchase a new seat for every unique individual my company conferences with?

No.  As long as you don’t exceed the total number of seats you’ve purchased you can conference with whomever you like without purchasing more.

To do this you’ll need to designate some or all of your seats as guest seats rather than having them assigned to a particular individual.   Then when you are ready to conference send the user credentials (user name and password) to the users you wish to conference with and make sure those guest seat IDs are in your contact list.  When the users sign in to the guest seats you’ll see them as available and you can begin your conference.   Contact Sightspeed Business support for additional help with this process.

 

Can I delete a user?

Yes, we understand that employees leave companies so we’ve provided the option for their deletion from your account.   Once deleted they will not be able to be re-added to your account and their email address will not be able to be used in SightSpeed again.
